I led a team of three designers on doing research, stakeholder alignment, design prototypes and high-fidelity mockups for a media management tool that would be used by Fox Entertainment, Fox Sports, Fox News and many Fox local stations.
Context
I worked with Fox Digital Entertainment on a huge internal project known as Arches. The idea was to design and develop their own set of internal applications that they used to manage all of their digital assets like videos, images and live streamings because up to that point, they were using a lot of third party apps that made the user flow very complicated, with a high error margin due to manual processes that could be automated.
The first step was to create their own Design System. But not only using components and style guides, but also by creating interaction and design patterns that could work as a foundation for any app that anyone inside Fox Entertainment needed to built, so I helped to develop this Design System with a team of 5 designers.
The Video Manager was one of those apps that was created using the Arches Design System.

Challenges
This app was one of the most important apps that would be designed and developed using the Design System. The idea was that this tool would replace around 15 other apps that Fox Digital was using for managing, monitoring and publishing video assets for their apps: Fox Entertainment, Fox Sports and Fox News.
The approach for designing this tool was similar to the Access Control app:
- Define high level vision of this project and align stakeholders
- Understand the ideal user journey for this tool
- Ideate and sketch potential solutions
- Create high fidelity mockups
- Build a design prototype
- Test and iterate.
But for this particular project, there was one bigger challenge: the technical aspect. As I was interviewing stakeholders, I noticed that different «stations» within Fox Entertainment had different journeys and used different tools, so the biggest challenge was trying to understand their current workflows, and come up with a solution that would consider what every station needed to do, without disrupting their work.
Actions
Considering those challenges, I defined the. following design process:
- Facilitate an Experience Canvas workshop to define & align the vision on this tool
- Facilitate a User Story Mapping workshop to understand what would be an ideal workflow
- Research via interviews about the different stations and their current workflows
- Create swimlane flows for each station’s current workflow
- Create swimlane flows for the desired workflow
- Validate workflows with stakeholders and users from each station
- Create high fidelity mockups using the Design System
- Build a prototype, facilitate user testings and iterate

After research was done and the technical documentation was approved, I proceeded to design high quality mockups and built a Design Prorotype using our Design System.





Impact
The Video Manager was tested and delivered to the development team. I was able to showcase a demo for the entire Fox Digital organization, and it got quite a lot of positive feedback from everyone, including managers and people who would use the tool.
The following metrics were measured after a couple of months of use:
- Human error was reduced by 80%. This is because before the Video Manager, users had to manually copy and paste metadata information across every tool of their workflow, but with the Video Manager, most of that information was only added once, and then carried out to other platforms automatically.
- Workflow speed was improved by 70%. Related to the last bullet, this was a manual process that took most of the bandwidth from our users. Since the Video Manager was connected to all of the needed platforms, users were able to complete their jobs to be done faster than before, so they could pay more attention to other tasks that were part of their daily job.
- Workflow was standarized across all stations. This was the most important challenge of this project, and the tool was able to unify all of the stations under the same process and workflow, instead of each one of them using different platforms and following different paths.
